General Overview

The Workflow & Technology Specialist works closely with the members of the Global Communications & Design team and its clients across the organization to ensure that localization, design, and editing projects are optimally set up, supported throughout their implementation, and delivered to requesters in a timely manner. This role serves as the teams point on the various technological tools and platforms needed to complete and deliver localization projects, and devotes a significant portion of time to operating and maintaining memoQ, the Global Communications teams CAT tool. It also role provides coordination and technical support for interpretation assignments as needed. Requiring constant, real-time coordination with clients and team members, this person combines technological expertise and problem-solving acumen with excellent written and oral communication skills.


You Will Have

  • Professional proficiency in English (multilingual skills preferred)

  • Bachelors degree or equivalent

  • 5+ years experience in localization project implementation and/or management

  • Proven expertise in memoQ (or a comparable CAT tool) and professional knowledge of translation technologies including translation memory, term bases, and machine-translation

  • Familiarity with content management systems, learning management systems, email marketing software, and other content-related technological platforms

  • Professional proficiency in Microsoft Word, Excel, and PowerPoint

  • Minimum working knowledge of HTML and XML

  • Intuitive understanding of technological platforms

  • Strong process and project management skills

  • Strong organizational and analytical skills

  • Excellent interpersonal and written communication skills

  • Understanding the unique needs of each localization, design, or editing project and optimizing flow with adjacent processes

  • Quickly grasping the big picture and details of a project workflow and suggesting ongoing improvements

  • Generating reports, interpreting data, and communicating the results in a clear and compelling way to team members and stakeholders

  • Clearly explaining complex technical procedures and requirements to people of various technological skill levels

  • Finding solutions and providing support, especially on issues related to processes, technologies, and logistics

You Will Be Responsible For

Workflow & processes

  • Triage requests, determine appropriate set up, and open all projects for the Global Communications & Design team in the teams workflow tool (FlowFit)

  • Create schedules in the workflow tool, based on set guidelines and established schedules

  • Plan and execute integration between the various platforms and resources needed to deliver projects

  • Oversee the execution of each request from inception to delivery and monitor key milestones

  • Coordinate, maintain, and share project and assignment master calendars, including interpretation

  • Collaborate with managers, team members, and stakeholders to facilitate internal workflow, manage project delivery expectations, and keep requesters updated on the status of projects

  • Prepare and present relevant reports, as needed

  • Identify opportunities for improving workflows and processes and present potential solutions to the Workflow & Interpretation Manager.

  • Support Global Communications & Design stakeholders on special projects, as needed

  • Participate in the FlowFit core team and manage the platforms administrative settings

Technology management

  • Create, modify, and manage projects in memoQ

  • Update and maintain memoQ server resources including translation memories (TMs) and term bases (TBs)

  • Troubleshoot technical issues and support team members in their daily use of content platforms and translation technologies

  • Assist in creating and updating of technical process-related documentation for the team

  • Contact and coordinate with vendors for issues requiring expert technical support

  • Assist the Workflow & Interpretation Manager with interpretation tools and provide real-time support at multilingual meetings
