Job Summary

Insertion & removal training for contact lens patients Provide insertion and removal training (I&R) for all contact lens patients (both medically necessary and regular), either to the patient themselves or to their parents if the patient is a small child. Demonstrate best practices in handling, inserting, removing and cleaning contact lenses. Ensure the patient or parents is/are comfortable with all aspects of managing their contact lenses at home.
Contact Lens ordering/returns Based on physician work order in AEHR, order medically necessary trial lenses for new patients or replacement lenses for established patients. Create a tracking system for all Medically Necessary contact lenses (MNCL)/Rigid Gas Permeable (RGP) contact lenses so all orders/returns/invoicing, etc. can be followed through the system. Return MNCL trial lenses that do not work properly for patients in a timely manner to ensure the department is not charged the full cost of the lens. Order RGP lenses for regular contact lens patients and send to Optical for payment collection. Order all trials for regular contact lens patients. Refer all other regular contact lens patients to Optical to pay for and order their lenses.
Patient Scheduling for contact lens follow-up Schedule patients for their lens pick-up appointment where they will receive the lens and the insertion and removal training. Schedule follow-up appointment for the physician to see how the trial medically necessary contact lenses and regular contact lenses are working.
Medically necessary contact lens reconciliation Reconcile and review all invoices for medically necessary contact lenses. Verify invoices are received for orders submitted and follow-up on any invoices not received. Submit invoices for payment each month.
Contact lens inventory management Review, organize and manage all trial contact lens inventory. Work with vendors to replenish trial contact lenses as needed. Keep contact lens office organized, work spaces free, and clear.
Obtain/Submit pre-authorizations/insurance authorizations Review the physicians patient schedule a minimum of 1 week in advance to determine which new patients will require a pre-authorization. Submit list to physicians for review and confirmation. Using the physician confirmation of new patients requiring a pre-authorization and accessing the work order list in AEHR each day, identify and obtain requests for pre-authorization from insurance companies for medically necessary contact lenses. Submit all pre-authorizations in iAuth. Communicate any issues obtaining pre-authorizations to physician. (These are temporary duties until this duty transfers to another department in the spring or sooner.)

Skills / Knowledge / Abilities

Knowledge of contact lens management and best practices, insertion & removal training knowledge, organization, attention to detail, tracking lens orders, patient scheduling, knowledge of physician schedules, excellent oral communication, ability to work with insurance companies, performing pre-authorizations (temporary).
