SR ADMINISTRATIVE ASSISTANT (TORONTO, CANADA)

Emergent BioSolutions is currently seeking a Sr Administrative Assistant for our Toronto location. The successful candidate will have five or more years of administrative experience and a bachelors degree or equivalent combination of education and experience is considered an asset. Must have demonstrated knowledge of office management responsibilities, systems and procedures, excellent written and verbal communication skills and strong proficiency in MS Office specifically Outlook, PowerPoint, Excel and Word The select candidate will have demonstrated time management skills and ability to multi-task and prioritize work, have a high level of confidence, integrity and motivation, and have the ability to work with complexity and ambiguity. In addition, this individual will possess a strong work ethic and a commitment to excellence and innovation.

THE OPPORTUNITY

The Sr Administrative Assistant will organize and coordinate office administration and procedures for the Toronto office, in order to ensure organizational effectiveness, efficiency and safety. The individual will need to handle details of an extremely confidential and critical nature with discretion and maturity. They need to be able to work with minimal supervision and easily prioritize the days demands. They will need to anticipate issues and resolve them as independently as possible. This person will be a key member of the team and will share in the responsibility for maintaining a positive and inclusive working environment for this vital group and the office as a whole.

DUTIES & RESPONSIBILITIES

  • Respond to in-person, telephone or email inquiries from customers, business partners, vendors or other parties
  • Responsible for receptionist activities, greeting and screening visitors, answering and referring inbound telephone calls and scheduling appointments.
  • Refer all inquiries to the appropriate individual/department
  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and general facility related issues. Responsibilities include managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Organize and schedule meetings and appointments and room bookings
  • Partner with other internal groups to maintain office policies as necessary
  • Organize office operations and procedures. May be responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Coordinate with IT on all office equipment
  • Support relationships with vendors, service providers and landlord, ensuring that all invoices are sent for processing on a timely basis;
  • May be asked to create PowerPoint slides and presentations
  • May be asked to manage executives' schedules, calendars, appointments and expenses through Concur.
  • Arrange travel bookings via approved providers, distribute tickets to team members and post incurred expenses
  • Participate actively in the planning and execution of company/site specific events
  • Responsible for developing standards and promoting activities that enhance operational procedures
  • Organize orientation and training of new staff members;
  • Design and implement filing systems
  • Additional responsibilities include support/ back up to Operations Coordinator for SAP

EDUCATION, EXPERIENCE & SKILLS:

  • Bachelors Degree or equivalent combination of education and experience is an asset.
  • Five or more years of administrative experience similar to those described above;
  • Detail oriented with exemplary organization, planning skills with a high degree of accuracy
  • Demonstrated knowledge of office management responsibilities, systems and procedures
  • General understanding of the pharmaceutical industry and healthcare environment
  • Demonstrated time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • Strong proficiency in MS Office especially Outlook, PowerPoint, Excel, and Word
  • Knowledge of accounting, data and administrative management practices and procedures
  • Knowledge of Concur Business Travel & Expense Software preferred
  • High level of confidence, integrity and motivation.
  • Must be able to multi-task and work well under time constraints.
  • Must be proactive, responsive and resourceful. Exceptional problem-solving skills and able to address issues independently.
  • Highly flexible and motivated individual with an ability to work independently as well as in a team setting.
  • Ability to deal with complexity and ambiguity.
  • Must consistently demonstrate the highest level of professionalism and discretion.
  • Strong interpersonal skills with ability to interact well with all levels internally and externally (clients, customers, internal executives, team members and across Emergent organization).

ADDITIONAL REQUIREMENTS:

  • Citizenship/Permanent Resident or Valid Work Permit.
  • Successful Completion of a Criminal Record Check.
