Sr Administrative Assistant - District Office
Essential Job Functions:
- Supports VP, OTD and OTD Directors on a variety of administrative needs and actions.
- Coordinates OTD meetings and events (including room scheduling, purchasing supplies, catering, event set-up and break down, etc.)
- Provides customer support to employees who request OTD services or need support with the college talent development system. If unable to provide immediate resolution, directs employees to the appropriate subject matter expert for further assistance.
- Assists SJCD employees with event registrations and cancellations within the college's learning management system.
- Assists with the preparation of program materials, marketing materials, and communications.
- Provide budgetary support to the OTD team, assists in gathering quotes and issuing PO's as required. Tracks and reports expenditures, collects p-card summaries and
- Maintains expenditure spreadsheet.
- Responsible for updating information on The Internal Exchange and maintaining the OTD website including the OD webpage and tools/templates.
- Provides tier I troubleshooting and help desk support, offering technical instructions to employees as needed.
- Manages purchase and inventory of supplies. Organizes and maintains the OTD workroom.
Additional Job Functions:
- Other duties as assigned.
- Maintain professional level competency through professional development.
- Provides assistance with OTD professional development registrations, travel arrangements, hotel and parking reimbursements.
- May assist OTD leadership with special projects
- Records and transcribes meeting minutes as requested.

- Excellent customer support focus
- Can effectively communicate technical concepts and instructions to a diverse audience in a clear and concise manner
- Knowledge of learning technology and talent development systems

- Excellent planning, organizing and time management skills
- Proven drive to achieve excellent results
- Able to work effectively as member of a team and independently
- Able to keep leaders informed and updated on key information
Required Education:
- HS Diploma or GED
Required Experience:
- Three (3) to five (5) years experience in the following areas: Administrative support, technical help desk support, customer service, LMS administration or technical training
Preferred Education:
- Associates Degree
Preferred Experience:
- Five (5) to seven (7) years experience in the following areas: Administrative support, technical help desk support, customer service, LMS administration or technical training
Salary Grade: 14
