I: Job Summary

The qualified candidate will provide extensive administrative support to Site Head (Vice President and General Manager) and will act as a coordinator of departmental projects (internal and external; individual group governance committee, etc.) This role requires a significant degree of confidentiality and demonstration of all of Emergents leadership values.

II: Responsibilities

Business Services: provide calendar, meeting coordination and, at times, expense report support for Site Leadership Team members.
Support travel arrangements for Site Leadership Team and expense report submission for VP/GM.
Establish meeting calendars, schedule conference calls and manage calendar for VP/GM.
Maintain organizational charts (.ppt) for site presentations and supplemental coordinating documentation as required.
Travel Coordination: assist with seminar registration and associated travel; arrange travel for VP/GM and additional Site Leadership Team Members as needed.
Support Talent Acquisition Team, if requested, in scheduling interviews with key site members. Publish interview calendars and coordinate with TA to support their requests.
CDMO Customer visit and audit coordination: work collaboratively with CDMO representatives and site Client Portfolio Relations Management Teams. Coordinate logistics for custom visits and audits in partnership with hosting departments. Activities to including planning, audio/video coordination with IT, food services and calendar management and awareness.
Scheduled T4 and CLT Meeting Coordination. T4 is established by OpEx and may require support with calendar review. Assure conference room availability for CLT meetings and reserve. Coordinate agenda with CLT for weekly meetings.
Coordinate all employee meetings, luncheons, Town Hall, No Agenda Required
Attend leadership team meetings, if requested, and if needed document actions for follow-up.
Event planning and coordination: provide coordination and facilitation of site events including all employee meetings, town halls, No Agenda Required, site luncheons and items in this same area.
Actively participate in the Engagement Ambassador Team to support and drive engagement activites. Serve as a lead for helping coordinate all activities.
Support the site H&W team and send communications regarding activities.
Manage mail distribution at the site daily according to the SOP.
Prepare correspondence in partnership with Leadership Team members and distribute as appropriate within guidance given for distribution.
Process necessary paperwork and maintain files for departmental contracts, purchase orders, invoices.
Assist in budget preparation and monthly expense reporting to Finance
Assist in creating internal and external reports for Site Leadership Team.
Maintain employee memberships, contact lists
Provide general administrative support on an ad hoc basis to Site Leadership Team

III: Education, Experience & Skills

Associates Degree and/or combination of education and experience in business administration and office support functions. Bachelors degree with 5 years preferred
Experience coordinating programs both internally and externally; exercising professional judgement while maintaining confidentiality to complete day-to-day tasks necessary to the site running smoothly
Possess working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Concur, and SAP
Proficient typing, spelling, punctuation, and grammar
Demonstrated solid customer service and interpersonal skills; tactful in dealing with others.
Actively demonstrate Emergents values

Able to listen to and understand information and ideas presented verbally
Able to develop specific goals and plans to prioritize, organize, and accomplish work
