Job purpose

The Purchasing Manager plans and coordinates the activities of buyers and related workers involved in maintaining optimum inventory levels to insure a high level of customer satisfaction. Lead the department using data analytics to assure purchase orders are monitored from submission through shipping logistics to receipt.

Salary Range: $70,000 - $90,000

Duties and responsibilities

  • Manage purchasing processes for up to 14k SKUs from both domestic and international vendors and factories.
  • Work with freight forwarders and customs brokers for inbound international shipments.
  • Prepare, review and comment on KPIs, including fill rate, service levels, backorders.
  • Negotiate with vendors for lower costs, rebates, lower freight charges, free freight levels, lower MOQs (Minimum order quantities), lower MOAs (Minimum order amount), better payment terms.
  • Implement and maintain department PIP (Profit Improvement Plan) to recognize and reward department employees for cost saving ideas relative to lower costs gained, better processes and other efficiency improvements.
  • Develop and implement purchasing strategies.
  • Lead daily purchasing activities, supervise staff, and allocate tasks.
  • Prepare reports using Excel and data analytics to address product movement, inventory management, cost changes, transportation issues and market conditions.
  • Maintain the supplier database, purchase records, and related documentation.
  • Work to improve purchasing systems and processes using Oracle Netsuite and the inventory planning software.
  • Direct staff training where needed.
  • Control purchasing department budgets.
  • Develop, recommend and implement purchasing and contract policies and procedures.
  • Assist the marketing department in the planning of sales promotions to insure product availability.
  • Participate in the development of specifications to improve our software systems that help in the management of inventory and purchasing systems.
  • Coordinate data analysis with marketing and sales groups in order to determine market demand for product needs among various sales channels.
  • Perform other duties as assigned.

Skills and Qualifications

  • Bachelor's degree in business administration or a related field of study, preferred.
  • 4+ years experience as a Purchasing Manager or in a similar position.
  • Knowledge of inventory and supply chain management.
  • Supervisory and management experience.
  • Strong written and verbal communication skills.
  • Customer service minded.
  • Ability to manage multiple projects and activities while delivering timely and quality results.
  • Excellent organizational skills and ability to work independently.
  • Proficiency in Microsoft Office, including Outlook, Excel (PivotTable, Vlookup), PowerPt.
  • Knowledge of strategic planning, leadership techniques.

Working conditions

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • Must be available to travel when necessary in order to meet with suppliers, attend conferences and trade shows.

Physical requirements

  • The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
  • Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with whole hand or arm as in handling. Must be able to sit and/or stand for up to 8 hours a day.
  • Talking: Expressing or exchanging ideas by means of the spoken word; those activities where detailed or important spoken instructions must be conveyed to other workers accurately, loudly, or quickly.
  • Hearing: Perceiving the nature of sounds at normal speaking levels with or without correction, and having the ability to receive detailed information through oral communication, and making fine discriminations in sound.
  • This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary.
  • Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects.
