Job Summary
The publications coordinator (1) handles the administration and production of the journal Harvard Studies in Classical Philology and (2) maintains records of, and consults on, other departmental publications.
Reporting to the Department Administrator (DA), and DUS, with both independent and collaborative responsibilities, the Undergraduate Program Coordinator provides support for the Department of the Classics undergraduate program.
Position Description
Monitors student progress, progress toward degree requirements, transcript annotation, and reports significant academic changes to the Director of Undergraduate Studies (DUS) and the Registrar's Office
Prepares and maintains student and program records according to department and University records management guidelines
Liaises with internal and external constituents (Registrar's Office, OUE, Harvard College, peer Undergraduate Program Coordinators)
Coordinates recruitment and advising events, and meetings between Classics Department officers and undergraduate representatives; plans department undergraduate social and academic events
Organizes application and award process for undergraduate student prizes, travel fellowships and grants, and summer internship opportunities; Responsible for submitting limited submission applications on behalf of the department prior to deadline
In collaboration with the Chair, DUS, DGS, and Graduate Coordinator, develops a plan of courses of offering each academic year

Builds and maintains a database of Classics undergraduate concentrator alumni.Updates alumni of on-going events and initiatives in Classics
Processes accounts payable and reimbursements for department expenses; maintains financial records according to University policies
Assists with classroom bookings
Publishes bi-annual departmental newsletter, Nota Bene, weekly calendar of Classics events. Runs Department's social media platforms: Twitter, Instagram, Facebook
Basic Qualifications
Minimum three years work experience supporting an academic program in a university
Additional Qualifications and Skills
College degree preferred, advanced degree a plus, preferably in the Arts & Humanities. Ability to read Latin and Ancient Greek preferred. Prior experience with academic program support. Working knowledge of Microsoft Office Suite, InDesign, my.harvard, Canvas, Oracle Financials, Concur, RoomBook (EMS), Zoom. Demonstrated ability to work as part of a close team of staff sharing responsibilities when necessary to meet the needs of the department. Ability to work independently with minimal supervision. Capable of interacting with and communicating with diverse groups of people with tact and diplomacy. Ability to handle complex and confidential information with discretion and initiative. A positive and enthusiastic attitude with great attention to detail.

Position Description
- Keeps records of articles in the journal management software (currently Scholastica)
- Researches potential referees
- Communicates with authors, referees, printers, Harvard University Press, JStor, the Library of Congress, etc.
- Updates the HSCP Style Guide periodically
- Recruit, trains, and checks the work of copyeditors
- Typesets the journal
- Maintains the publishing section of the department website
