Antioch University Seattle (AUS) seeks a Program Associate to provide administrative support for the Director of Clinical Training (DCT) for the Master of Psychology programs to maintain program and accreditation standards, and positive program and student outcomes. The Program Associate acts as a liaison between Antioch University Seattle (AUS) offices; serves as contact with Enrollment Services, Registrar, and Facilities, and serves on event planning committees such as Commencement and other campus committees.
This is a full-time, 35 hours per week position, serving a national university. The pay range is $22.00 to 23.00 per hour. The work schedule will be established in consultation with the supervisor. This position is considered a hybrid position, primarily remote with some department support needed on the Antioch University Seattle campus during each quarter (4 quarters per year).

While performing the duties of this job, the staff member is regularly required to sit, stand, use hands and fingers, and talk or hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. Requires daily use of computer and other standard office equipment.

Essential Job Functions
DCT Support:
- At direction of DCTs, initiate and monitor process of Affiliation Agreement signing including track renewal dates, initiate renewal paperwork, and maintain digital files
- Assist with planning, logistics, and set-up of yearly supervisory trainings and new supervisor approval, and track required documentation
- Assist with special projects such as teaching materials preparation and organization, and logistics
- Track student attendance and student evaluations of the seminars, compiling and tabling data, and digital storage of information
- Assist in researching and collecting information on potential practicum, pre-internship, and internship placements, and keep track of site data. Assist DCTs on internship preparation classes and track internship eligible students.
- Assist DCTs and other faculty as needed in maintaining accreditation standards paperwork, and outcome data on student performance, client satisfaction, and supervisory and site effectiveness. Maintain digital records and tables of outcome data for DCT review and assist with preparing documents for presentation.
Curriculum Support:
- File and track documentation for evaluation of practicum, pre-internship, and internship placements. File and track students site evaluations, on-site supervisors evaluations, and maintain log of agency site visits and contacts by DCTs.
- Assist in organizing and maintaining supervisory documentation and updates to supervisor lists, resumes, etc. Maintain archival records digitally. Assist with coordinating SupervisionAssist registration for supervisors and assist with yearly updating and student account renewal.
- Assist DCTs in tracking and follow-up of student remediation plans and student of concern committee tracking
- Assist in tracking all practicum, internship and supplemental supervision and Practicum Prior Learning class registration, assuring that students are properly registered. Track and file quarterly Contracts for Student Learning and Contracts with Supervisors. Assist in planning meetings with case consultation and practicum instructors, professional seminar instructors, and Community Meeting speakers, and prepare paperwork as needed. Assist in tracking paperwork for recruiting clinical adjunct faculty. Assist with meeting planning and logistics.
Department Support:
- Assist in managing the Clinical Training Hub sites on Sakai
- Maintain community placement database updating as needed, and assist in revising forms, posting to Sakai, and inform students of new policies that impact clinical training.
- Assist in updating of student clinical training handbooks and posting to Sakai
Minimum Requirements
- Bachelors degree preferred
- 2 - 4 years of relevant experience
- Proficient in MS Office and Google Suite
- Strong organizational, analytical, and time management skills
- Strong written and verbal communication skills
