The Payroll Specialist is responsible for ensuring accurate processing and recording of the company’s payroll.  This position provides timely and accurate information and participates in daily data entry for payroll processing.  Emphasis is on processing Payroll, Absence and Time Tracking data to produce and record all payroll runs.

Essential duties:
  • Processes all phases of multi-state bi-weekly payroll from time calculations through paycheck issuance for all individuals according to the employee’s master file and company policy. Reconciling payroll prior to transmission and validate confirmed reports
  • Prepares employment related manual checks timely and according to the schedules, including production incentives, terminations, bonuses, referral bonuses, and prizes using the Payroll System.
  • Reviews, verifies and maintains employees’ data regarding salary, direct deposit, scheduled deductions, W-4 information, and garnishments.
  • Disburses all employee scheduled deduction amounts to the appropriate vendors working with Accounts Payable, General Ledger and Human Resources
  • Complies with employment verifications and wage withholding orders (garnishments) ensuring all parties involved are properly notified in a timely manner; and scans all Wage withholding orders to Payroll vendor to ensure they are processed properly
  • Maintains checkbook ledger with all check runs for calculating tax liability for all Federal and State institutions
  • Prepares ACH reports and Positive Pay information to send to appropriate banking institution through CEO banking
  • Communicates with various State agencies to provide required statistical data
  • Reconciles all payroll data monthly, quarterly, and annually.Balances all amounts for the preparation of each Federal and State Quarterly and Annual Tax Return
  • Prepares and maintain various employee compensation reports for management and company contingency plan
  • Provide back-up for all other payroll team members; stores and maintains previous year’s files for recall
  • Prepare general ledger (GL) journal entries as assigned 
  • Performs other incidental and related duties as required and assigned

Required Skills and Knowledge:

  • Knowledge of multi-state payroll taxes, calculations, deposits, and reporting requirements using payroll best practices.
  • Working knowledge of Payroll/HRMS software, including Absence and Time Tracking platforms within the system
  • Knowledge of federal and state regulations
  • Proficient with accounting-related (windows based, menu driven) software and spreadsheets (MS Excel)
  • Knowledge of general ledger entries
  • Ability to work within a rapidly changing fast paced work environment and meet deadlines both independently and as a team member
  • Willingness to embrace change and learn new skills and new technology
  • Responsible, dependable, detail oriented, organized, accurate and strong work ethics
  • Ability to maintain confidentiality of sensitive data


Physical Requirements:

  • Sit/stand/walk 8-12 hours/day
  • Lift/carry/push/pull under and over 10lbs occasionally
  • Keying frequency, handling, reaching, fine manipulation


Education and Experience:

  • High school diploma required
  • Minimum of three years of experience with multi-state Payroll processing and related general business
