About the Position


The Payroll Specialist is responsible for managing all aspects of multi-state and multi-company payroll, to include multi-state taxes and unemployment, as well as the financial aspects of the companys 401(k), benefits and insurance plans. This is a new position which has been added due to company growth. 


Essential Functions:

  • Manage payroll aspect of HR/payroll system

  • Audit hourly time punches to ensure accuracy; follow up with employees and managers as needed. Work with employees and time managers to streamline hourly timekeeping process

  • Audit and review employee PTO accruals as needed

  • Enter any changes in compensation, titles, classification as needed and ensure employee pay and data is always up-to-date

  • Process semi-monthly payroll for multiple companies; ensure payrolls are balanced

  • Manage multi-state Federal, State and jurisdictional tax and unemployment accounts; open and close new accounts with applicable entities as needed

  • Reconcile payroll tax reporting; review quarterly tax packets and filings; support end of month, quarter and yearly closings and audit as needed

  • Respond to queries from Federal and State agencies

  • Point of contact for payroll withholding accounts to the general ledger

  • Submit monthly commission payments; manage Commission Agreements

  • Submit bonuses as needed; work with HR on year-end total compensation statements

  • Complete multi-company semi-monthly 401(k) deferrals and match uploads; manage employee 401(k) loan process; complete year-end multi-company 401(k) data submittals for year-end testing

  • Work with HR to implement new 401(k) TPA and electronic process for payroll deferrals and match

  • Work with HR to implement Health Savings Account process; manage financial aspect of account

  • Ensure workers compensation salary data and states are accurate; audit billing as needed

  • Work with HR team to make necessary changes/updates to payroll records

  • Reviews and reconcile annual computations for W-2 reporting; conduct year-end reporting of W-2s; ensure all W-2s are provided to all employees

  • Audit all monthly insurance billing and ensure benefits elections and payroll are consistent; submit monthly insurance payments; request applicable credits as needed

  • Complete financial-related employment verifications and mortgage verifications

  • Respond to employee questions in a timely manner; research, analyze and resolve any discrepancies as needed

  • Maintain knowledge of multi-state wage, hour, tax and garnishment laws, including local taxes

  • Assist HR with financial-related duties as needed; assist Finance Department with other duties as assigned

Required Education and Experience:

  • Associates Degree in Accounting, Finance or Business Administration or equivalent education and experience is required; Bachelors Degree is a plus

  • Three to five years of multi-state payroll processing experience in a fast-paced environment is mandatory

  • FPC or CPP Payroll Certifications are a plus

  • Payroll/HRIS experience is mandatory; advance Excel skills required

  • Confidentiality is absolutely mandatory

  • Working knowledge of payroll tax codes

  • Prior management of a 401(k) Plan or related experience is a plus

  • Prior management of the financial-end of a Health Savings Account or Flexible Spending Account is a plus

  • Finance, Accounting or HR experience is a plus

  • Must be extremely detail-oriented

  • Excellent written and verbal communication skills; ability to interact well with various organizational functions and personnel at all levels

  • Must be a highly motivated self-starter with the ability to manage multiple assignments and function in time-sensitive situations

  • Must have the ability to work independently and take initiative to identify opportunities for process improvements

  • Excellent analytical skills

Position Type/Expected Hours of Work:


This is a full-time position that is located at our HQ in Emerald Isle, NC. Occasional evening and weekend work may be required. Little to no travel is expected for this position.
