Job Description

The primary responsibility is to manage operations for US Medical Affairs functions including, but not limited to, ISS, Collaborative Research, and Medical Education to maintain and improve the performance, productivity, and efficiency of these functional areas.   This role is responsible for all operational and tactical aspects to process requests for medical and patient education grants and for ISS and Collaborative Research programs.  This includes coordinating with relevant internal parties, communicating with external parties, completing/reviewing/processing required documentation, maintain a working knowledge of the systems used if applicable, as well as knowledge of and adherence to the processes for each function.  This includes knowledge of all the systems involved in each of these areas, including the compliance system HIP- and CTMS as it relates to Medical Affairs studies.  


Essential Duties & Responsibilities:


  • Support the department members as needed including gathering open payments for transparency reporting, managing updates, creating and running regular and ad hoc reports, and facilitating any other processes when needed.
  • For Medical Education, this includes preparing the grant for the review committee, entering into compliance system (HIP) for review, processing the approval or decline notification once a decision has been made by the grant review committee (GRC); this also includes documenting everything in the grant system, following up on requests for additional information (RFI), processing the contract (LOI/LOA), and ensuring payment, assisting with grant close-outs, as well as addressing technical and procedural questions and responding to shared email inbox/voice mail queries.  
  • For ISS and Collaborative Research, working closely with the US Medical Directors, this includes, but is not limited to processing the notification once a decision has been made by the review committee (IRC).  It also entails budget and Fair Market Value reviews, ensuring the process is followed compliantly and the requests are moved through the process in a timely manner, assisting with contracting and drug supply, tracking spend and enrollment, and closing studies once completed. It is critical that documentation is appropriate and kept up-to-date from initiation to study close-out in order to maintain compliance.  In addition, providing technical assistance and compliantly answering procedural questions for internal and external stakeholders. 


 Experience Required:   


  • Bachelor's Degree is required
  • 1+ year of experience in operations, data management, report generation, or data analysis
  • Displays proficiency with computer applications, particularly MS Office Suite
  • Pharmaceutical experience is highly preferred
