About The Role:

ARC is searching for a Manager, Facilities to join our team! In this role, you will work with a small team of geographically dispersed facilities professionals to provide excellent service to ARC employees and accomplish facilities related tasks and initiatives. You will also work to ensure that all ARC office space in Arlington, VA, Tampa, FL and Louisville, KY is well maintained and will oversee the maintenance, care, and efficient operation of all non-computer/network equipment. In addition, you will be responsible for overseeing daily facilities operations such as conference room set-up, mail room and front desk operations, and office supply inventory. As Manager, Facilities, you must have an eye for detail and a desire for the ARC facilities to look pristine and operate effectively and efficiently. This position requires a high level of collaboration, service orientation, and professionalism with internal and external partners and you will work to ensure all activities performed within the department are in accordance with the company's business objectives, budgetary guidelines, and established safety standards.

What You'll Get to Do:

  • Provide leadership to facilities team members to include coaching, mentoring, development and performance management.
  • Oversee daily facilities activities to include conference room set-ups, front desk operations, mail distribution, maintenance requests and new hire onboarding (creation of badges and facility access). Supervise and execute timely response of maintenance repairs, both emergency and routine. Develop and document facilities work procedures which identify tasks/steps for various processes.
  • Manage outside vendor contracts including janitorial and special cleaning requirements, annual maintenance agreements, carpet cleaning, painting, general contractors, and pest/insect control.
  • Represent Facilities at internal and external meetings and communicate information to senior management. Provide project reports and significant operational data to senior management on a timely basis.
  • Schedule and conduct frequent inspection of facilities and equipment to determine need and extent of service, repair and equipment required. Research and recommend efficiencies in building operations and vendors. This includes reviewing and negotiating vendor contracts and proposals/ bids as well as effective vendor management.
  • Ensure compliance with State and Federal regulatory requirements including, but not limited to, OSHA and fire safety.
  • Assist in the preparation of annual capital and expense budgets. Monitor expenditures for assigned areas of responsibility against budget and identifying variances monthly.
  • Ensure close partnership and good communication with building management in each office location.

You'll Bring These Qualifications:

  • Bachelor's degree or equivalent work experience required
  • Facility Management Professional (FMP) or Certified Facility Manager (CFM) Certification Preferred
  • Must be able to physically work from the Arlington, VA office and travel to other office locations in Tampa, FL and Louisville, KY periodically Must be available to respond to after hours issues
  • Experience with commercial or corporate facilities maintenance is required
  • Must be highly organized, detail oriented and can prioritize multiple tasks
  • Ability to respond to facilities related issues efficiently and effectively
  • Excellent verbal and written communication skills. Ability to effectively present information and respond to questions
  • Computer Skills/Equipment: Experience with Word, Excel, PowerPoint, and Outlook is required
  • Physical Demands: Regularly required to stand and sit; use hands to feel; reach with hands and arms; walk; and talk or hear. Occasionally lift and move up to 25 pounds. Operate tools and equipment in accordance with safety guidelines
