Engagement Specialist

This is a hybrid position which can be based in the Schaumburg or downtown Chicago office.

The Engagement Specialist is the primary contact point for community/special interest group leaders, volunteers, and Society of Actuaries (SOA) staff actuaries for all governance and operational matters applicable to the communities/special interest groups. Additionally, this position may serve on SOA strategic, operational, and department project teams. The job requires a broad knowledge of the SOA organization, independent decision making, and strong interpersonal skills.


Volunteer Relationship Management:

  • Nurture the relationships with community/special interest group volunteer leaders to accomplish annual plans, attract new members and volunteers to the group, and encourage strong volunteers to continue working for the SOA. The Engagement Specialists are the Subject Matter Experts for community/special interest group leaders on topics of governance, SOA operations and other group processes.
  • Manage relationships with 80-120 volunteer leaders and other key volunteers. Frequently the Engagement Specialist is the face of the SOA to our community/special interest group volunteer leaders.
  • Educate and inform all community/special interest group volunteers, members, and staff actuaries on issues of SOA group governance pertaining to the SOA Policy Manual, Bylaws and SOA procedures. Key areas include financial, elections, group governance and formation.
  • Participate in the development of materials for onboarding of new community/special interest group volunteer leaders which involves webinars, emails, and web site updates and ongoing guidance.
  • Handle outgoing community/special interest group volunteer leader recognition by the SOA and by the group itself.
  • Recognize and appreciate the differences of each community/special interest group and the special interests or areas of practice each represents to optimize volunteer activities and contributions.
  • Promote consistency among communities/special interest groups and when necessary, address special needs that may arise.
  • Provide ideas and different perspectives based upon engagement specialists experience with other communities /special interest groups.

Communities/Special Interest Groups Operations:

  • Deliver services directly to our community/special interest group volunteer leaders and less directly to the overall groups membership.
  • Ensure that SOA policies and processes are being followed while working collaboratively with the community/special interest group to meet their needs.
  • Work together with Marketing/Communications to create and execute promotional activities for the communities/special interest groups. This may include drafting email blasts, web cards and group bulletins to membership and obtain approvals prior to sending.
  • Establish annual conference call schedule for assigned communities/special interest groups. Manage ad hoc requests for the groups volunteer leader calls or meetings.
  • Facilitate communication between communities/special interest groups and provide support for collaborative group activities and events.
  • Work with, Information Services, Professional Development, Finance, and Customer Service in the creation and implementation of new and existing products for the community/special interest group.
  • Create posts and monitor communities/special interest groups LinkedIn groups.
  • Work together with the SOA Governance Department, ITS and Marketing Communication to execute the SOA communities/special interest groups election process. Engagement Specialists assist in ensuring the election data for their assigned groups are accurate. They also assist the groups in marketing efforts to recruit candidates to run in the election.
  • Oversee communities/special interest groups meeting logistics as needed. Coordinate site requirements for virtual or face-to-face planning meetings (typically 1-2 per year per section).
  • Ensure all logistics for a community/special interest group contest are completed. This includes working with legal on developing contest rules, collaborating with marcom on copy and promotion of the contest, working with webwork to ensure details of the contest and a means to collect contest submissions is posted and working.
  • Manage community/special interest group leader expectations. Communicate ongoing responsibilities and deadlines to the volunteer leaders. Participate on community/special interest groups elected leader conference calls and meetings. Alert SOA management of volunteer concerns in a timely manner.
  • Work together with the community/special interest group volunteer leaders during the development of a survey. Receive approval of volunteer survey questions and timing of the survey. Enter the survey into Qualtrics and process all logistics for survey launch. At the close of the survey, pull the survey results and share with appropriate volunteer leaders.
  • Obtain contract sign offs and coordinate joint sponsorships between groups or other external organizations.
  • Quarterly review community/special interest group Financial Statements and verify accuracy, annotate discrepancies, and distribute to the appropriate group treasurer and leadership.


  • Ensure communities/special interest groups are in in compliance with SOA policies and guidelines.
  • Provide a (confidential) voting process on expenses for large amounts or of a sensitive nature to volunteer leaders.
  • Verify approval and submit expenses for payments from community/special interest group funds.
  • As part of a continuous process improvement mindset, identify and recommend new processes to enhance effectiveness and efficiencies.
  • Assist communities/special interest groups with member benefits and service programs that enhance the groups membership value.

SOA Technology Platform/App:

  • Support the assigned communities/special interest groups in the technology platform/ app with information needed for posting and notify appropriate staff if the platform/app functionality is not working.
  • Set up community/special interest group influencer monthly calls. Provide recommendations for potential posts and ensure all group content and events are promoted within the platform/app.
  • Liaison with group influencers and provide guidance as needed.

Participate on SOA Project Teams:

  • Collaborate with Stakeholder and Engagement team on projects and initiatives to facilitate and enhance member engagement offerings. This may include supporting another Stakeholder and Engagement Team member or serving in a project management role.
  • Own and coordinate specialty projects or key project elements as assigned. These may be SOA strategic or operational projects, department projects, or pilots for new community/special interest group services. Frequently the Engagement Specialist may serve in a project management role and in that role will ensure deadlines are being met and alert his/her manager of any barriers to meeting deadlines and deliverables.
  • Interdepartmental projects involve providing community/special interest group user requirements and acceptance testing/verification for web pages, major Personify enhancements, and new report/mailing files.
  • Perform other duties as assigned.

EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will be considered)

  • Requires a bachelors degree or work experience equivalent.
  • At least three years of administrative or volunteer coordination.


  • Establish and manage multiple priorities and tasks with minimal supervision. Highly proactive.
  • Professional with an orientation to high quality service when representing the organization internally and externally.
  • Capable and interested in learning new technologies such as survey tools, collaboration sites, web-based tools (i.e., Doodle), Web 2.0 (LinkedIn, apps) as they are adopted.
  • Knowledgeable of all Microsoft Office applications.
  • Outstanding communications and interpersonal skills to effectively establish and maintain cooperative working relationships with staff and volunteers.
  • Strong organizational and project management/execution experience that demonstrates a high level of accuracy and attention to detail.
  • Ability to work effectively independently and within a team. Ability to learn quickly, demonstrate critical thinking and make situation-appropriate decisions using sound judgment.

  • Some overnight travel may be required.
