Job Summary
The College of Arts and Sciences is seeking a Department Academic Administration Associate to provide administrative support to the Commonwealth Institute for Black Studies (CIBS) and African-American and Africana Studies (AAAS). This individual will assist in the management of day-to-day operations and provide vital support to the leadership in CIBS and AAAS. Under the guidance of the Directors and Administrative Staff Officer III, this individual will assist with tasks critical to the success of the program/unit per College and University deadlines and expectations, which may include but are not limited to: submission of Triage tickets for purchasing, travel, independent contractors, student awards, hiring, technical/creative IT help, and building/key/space/surplus/renovation requests, etc.; collection of payroll information and submission of payroll reports; meeting monthly with the College Business Center for program/unit budget reviews and planning per Dean’s Office; items related to TA/GA/RA and student success and/or funding, such as GSAS form submission; event planning; and attending all Department Manager meetings and training opportunities as scheduled by the College.

The Department Academic Administration Associate will be expected to collaborate effectively and frequently with centralized College units, including the Dean’s Office, Business Center, Space and Facilities, Hive, Enrollment Management, Philanthropy, and Advising, along with units across campus and external to the University. This individual will play a critical role in ensuring efficient and inviting workplaces for undergraduate and graduate students, faculty, staff, and visitors. This individual will serve as an advocate for the program/unit and faculty, and an active member of a team of Department Manager colleagues and College staff. Successful candidates must possess a broad understanding of an academic setting, be able to effectively communicate among various personalities and situations, and be a team player with a strong ability to multi-task and collaborate in a fast-paced environment.
Skills / Knowledge / Abilities
Working knowledge of Excel, Access, Outlook, and Word; multi-tasking; attention to detail; quick-learner; able to prioritize; good customer service skills.
