Position Summary

Provide administrative leadership and problem solving in support of research centers programs and mission. Provide lifecycle pre- & post-award research administration ensuring the fulfillment of all grant and/or contract & compliance requirements. Manage overall day-to-day research administration activities and ensure that all activities are completed in compliance with associated local, state, federal & institutional rules & regulations. Provide administrative support for the Center Director, PI's and Staff.

Essential Duties & Responsibilities
  • Manages pre-award administration of grants and/or contracts
  • Reviews and assesses proposal solicitation and determines appropriate resolution
  • Responsible for obtaining an accurate and timely completed Federal and/or Sponsor regulated proposal routing form
  • Completes and pre-approves all proposal components in InfoEd or in other Sponsor's package forms
  • Creates proposal budgets with effort commitment for personnel
  • Coordinates and pre-approves large-scale proposals with collaborators outside of RFUMS (subcontracts) including obtaining letters of consortium
  • Ensures that proper regulatory protocols are established and completed i.e. IRB/IACUC/EHS and Conflict of Interest
  • Manages post-award administration of research grants and/or contracts from inception to closing of accounts
  • Oversees/Administers the center's entire sponsored project portfolio
  • Interprets award documents and ensures that grants and contracts are administered according to their award requirements
  • Manages effort commitments of key project personnel
  • Pre-approves Key Personnel Effort Forms using the Effort Reporting System
  • Ensures compliance with all appropriate RFUMS policies & practices; local, state, federal, agency & sponsor rules, regulations & requirements regarding grant and/or contract administration.
  • Resolves compliance problems & issues involving research safety, animal subjects, human subjects, funding and regulatory agencies
  • Monitors Center Project Account Balances using SQL Financial Statements ensuring that expenditures are done in according with Sponsors' rules
  • Identifies and resolve compliance issues that requires complex level of financial understanding of Sponsor's specific requirements and effort reporting knowledge
  • Reviews award budget status, identifies issues and suggests adequate changes and needs to PIs
  • Provides OSR/PI with financial data needed for interim and final financial and technical progress reports
  • Facilitates account close out activities, coordinating with OSR as needed
  • Perform a wide range of administrative support functions for the Center Director and faculty members, and staff.
  • Flexibility to assume other Research Center Administrator Level II's tasks when needed
  • Coordinate various activities between Directors/Centers/OSR/EHS/BRF/IRB
  • Prepare and compile materials for meetings/conferences
  • Establish and maintain collegial relationships with internal/external constituencies
  • Provide and develop reports using online tools upon request
  • Arrange travel/appointments
  • Perform other duties as requested or delegated by Center Director or EVP Research

Required Education & Experience
  • Bachelor's Degree or appropriate combination of education and experience
  • Experience with budgeting & financial management

Required Knowledge, Skills, & Abilities
  • General understanding of accounting principles and OMB 2 CFR 200
  • Strong organizational skills and attention to detail
  • Effective communication skills both written & oral
  • Problem-solver; critical thinking ability
  • Ability to manage and determine priorities, details and tasks with accuracy and efficiency
  • Proficient with Microsoft Office Suite; specifically Word and Excel
  • Commitment to confidentiality and professionalism
  • Ability to make sound/accurate decisions using professional judgement
  • Ability to work independently as well as part of team
  • Ability to exhibit sensitivity and respect in all aspects of the job
  • Display strong, positive work ethic with a high level of integrity
  • Must be able to achieve a background check clearance

Preferred Qualifications
  • 3 years research administration
