Administrative Support Coordinator II

Center for Effective Teaching and Learning (CETL)


Salary Range: $3,115-$5,639/Monthly


Work Schedule: Full-time, Monday – Friday, 8:30 am – 5:30 pm; non-exempt position.


Essential Functions: The Center for Effective Teaching and Learning (CETL) is committed to achieving excellence through teaching, scholarship, and learning, supporting professional development for all university faculty to sustain student success through faculty engagement and curriculum revision. This position will be a part of a dynamic area of Academic Affairs that has more than doubled in size over the past five years. Under the general supervision of the Senior Director of CETL, this position initiates, coordinates, and implements a variety of analytical and administrative duties of a responsible and sometimes challenging nature requiring independence, good judgment, and the application of a comprehensive knowledge of a variety of policies and procedures to provide support for CETL and the broad variety of activities and support it provides to the campus. Responsibilities include: tracks budget balances, equipment and supplies expenditures and monitors all department account balances; orders and replenishes office supplies as necessary; assists with planning, organizing, and coordinating multiple CETL events and programming; arranges travel; assists with minutes and agendas; assists with hiring student assistants; and provides work direction to student assistants. The incumbent oversees faculty database maintenance, makes budget recommendations and forecasts expenses, and carries out all office operations. The incumbent often serves as program administrator as this position works directly with faculty to process travel, awards, stipends and other documentation.


Required Qualifications & Experience: Three years of full-time general office experience, which included providing ongoing work coordination and/or lead responsibilities with notable accountability for the work results of support staff or unit administrative function. Must possess: a learner-orientation in keeping with the CETL mission; and an understanding of the operation of Academic Affairs, including faculty workflow and of classroom dynamics and faculty concerns as an integral function of a comprehensive university. Thorough knowledge and ability with Microsoft Office and Google suites. Ability to work well with a wide range of faculty, staff, administrators, and the public. Ability and interest in working in a dynamic team environment devoted to faculty professional and educational development. Demonstrated interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: Keen knowledge of university infrastructure, policies and procedures. Understanding of academic technology. Experience with: data analysis and/or database management (e.g. Excel, Access, SPSS); working with faculty in an academic setting; supporting faculty in a technology setting; using technology tools in an academic setting; and marketing or event planning. Strong customer service skills. Ability to work both independently and collaboratively on event planning and large projects. Ability to interpret and apply policies and procedures independently using judgment and discretion.
