Under direction of the Corporate Office Manager, the Administrative Assistance performs a variety of office-oriented tasks to ensure effective administrative operations, office operations and staff support with a focus on customer service and general office skills.  The Administrative Assistant is responsible for ensuring smooth operations within the organization while adhering to the organization’s values and principles.  The Administrative Assistant ensures the maintenance of a working environment that yields productivity and furnishes essential office supplies.  This role performs a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.  The Administrative Assistant should conduct close observation and make all the essential recommendations to management regarding more effective and more organized handling of specific o! perations within the company.

DUTIES AND RESPONSIBILITIES

  • Reception and office lobby support for all calls and visitors to include screening and transfer of the main phone inbound calls for 100-line system
  • Receive and send daily mail coordinating delivery to appropriate personnel
  • Coordinate meeting luncheons and refreshment deliveries as requested and maintain lunch and break room stock
  • Order and maintain office supply stock
  • Manage office facilities and interactions with building landlord
  • Assist with technical support and act as liaison between on-site personnel and the company Information Technology department as needed
  • Provide administrative support to the executive staff and on-site personnel utilizing Microsoft Outlook, Excel Power Point and Word as requested
  • Support quarterly board meetings for executive and board members as requested
  • Receive and direct visitors and clients to include conference room scheduling, set up, and prep
  • Review monthly expense reports for proper documentation and general ledger coding
  • Weekly termination list review for account de-activations
  • Assist with travel, transportation and hotel accommodations as needed, create travel accounts for corporate and handle travel related issues through an online travel booking system
  • Invoice review and prep for payment for office related expenses
  • Support the safety department by providing monthly, quarterly and annual safety summary reports

Requirements

  • Bachelors degree
  • Minimum of 2 years’ experience in an administrative or customer service role required
  • Must exhibit competent computer skills and knowledge of relevant software
  • Knowledge of operation of standard office equipment
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
  • Must exhibit high level of professionalism and ability to maintain confidentiality
  • Must be highly organized and precise in work detail with the ability to prioritize and problem solve
  • Must be able to comprehend work demands and communicate clearly, verbal and written
  • Must be able to follow instructions accurately
  • Must be diligent, strong work ethic with an attention to detail and accuracy
  • Must be able to balance varying work demands and shift priorities if necessary
  • Must be able to work with strong personalities, be flexible and teamwork oriented
  • Provide high level of customer service
