Administrative Coordinator, Bone Health Marketing Team

Osteoporosis affects nearly 13 million men and women in the U.S. and is responsible for an estimated 2 million osteoporosis-related fractures (bone breaks) per year. Although osteoporosis has many generic treatment options available, Amgen has emerged as the leader in this therapeutic area with our flagship brand, Prolia which launched in 2010, and EVENITY which launched in 2019.

The Bone, Cardiovascular and Nephrology Business Unit (BCNBU) at Amgen is looking for a dynamic, organized administrative professional to support the Head of the Bone Health Marketing and the leadership team in our home office, Thousand Oaks, California. This Administrative Coordinator assignment plays an integral role in supporting a bustling marketing team. This role directly supports one brand lead, 5 marketing directors, and interfaces across multiple functional both within and beyond the BCNBU.

This individual will perform a variety of complex administrative support activities including managing calendars, scheduling meetings, and managing key communication platforms for our team (e.g. Microsoft Teams and WebEx). As the team has been working remotely during the COVID pandemic, the responsibilities for this role are presently conducted remotely in a work from home setting. At a point in time in the future, we do expect to allow employees to return to the office setting when it is safe to do so. When normal business operations resume, this individual will support preparation of travel arrangements and expense reporting; to assist in report generation as requested; and to manage coordination of on campus logistics for key events, meeting minutes, and other duties as assigned.

This role affords the opportunity to take on special project responsibilities that span beyond administrative support. Examples include budget support, inventory tracking for collateral material, new employee onboarding, and field communication processes.

Key responsibilities include:
  • Managing calendars and scheduling meetings
  • Ordering office supplies and arranging purchase orders
  • Making travel arrangements and preparing expense reports as requested
  • Managing departmental administrative files, including on digital platforms
  • Performing administrative duties as assigned
  • Maintaining distribution, contact and personnel lists
  • New hire onboarding and training
  • Managing the administrative aspects of relationships with outside agency partners and other suppliers
  • Participating in project teams
  • Provide backup support to additional department ACs
  • Managing individual and team calendars (Outlook)
  • Coordinating local meetings: arrange travel, meeting arrangements, visitor accommodations. Organizing conference rooms, including logistics, catering and equipment needs.
  • Preparing agendas and taking meeting minutes/action items as required
  • Assisting with preparation of presentations
  • Assisting with special projects as requested by the Directors and others within group

Basic Qualifications:

Associate's degree and 2 years of Administrative experience


High school diploma/GED and 4 years of Administrative experience

Preferred Qualifications :
  • Proactive, helpful, can-do attitude with a solution-oriented approach
  • Excellent organizational skills and ability to support multiple leaders
  • Detail-oriented proven skills
  • Excellent travel and meeting planning skills
  • Good external communication skills
  • Excellent Time Management skills
  • Comfortable navigating online systems, with strong Outlook, Excel, PowerPoint Skills
  • Experience with Microsoft Teams (or willingness to learn the platform)
  • Ability to prioritize projects of greater urgency and importance
  • Excellent Project management skills
  • Calm under pressure
  • Experience working in biopharma industry
  • 5+ years of experience in an administrative support role supporting large teams at different levels
