The San Francisco Conservatory of Music is looking for our next Academic Operations Manager and Assistant to the Dean to serve as the primary conduit of communication between Academic Affairs, the Business Office, Human Resources, and the Office of the Dean. In addition, the incumbent will support the Office of the Dean and serve as a first point of contact for the Office of the Dean with students, faculty and staff. This is a perfect position for experienced individuals who wish to advance their careers in academic administration.

Job Duties:

The Academic Operations Manager and Assistant to the Dean is at the center of all activities related to Academic Affairs, the Business Office and the Office of the Dean. As such, the incumbent will:

  • Serve as the primary point of contact for the Office of the Dean and respond to inquiries from students, faculty and staff, often resolving questions or directing them to appropriate offices such as Student Affairs, Human Resources, the Registrar, Financial Aid, or the Dean
  • Prepare employment agreements for faculty, accompanists, and coaches and create semi-monthly teaching load reports for timely submission to payroll in coordination with the Dean, Academic Affairs, the Business Office, and Human Resources
  • Participate in the creation, revision and implementation of policies and procedures for faculty, academic staff and students in coordination with the Dean, Academic Affairs, Business Office, Human Resources, and other appropriate officers
  • Assist with logistics for Commencement, Convocation, various competitions and any other event sponsored by the Office of the Dean or Academic Affairs
  • Collaborate with the Dean, Academic Affairs and Human Resources to develop and maintain an onboarding process for new faculty
  • Collaborate with the Vice President of Finance and Administration and the Dean to assist in preparation, development and monitoring of accurate budget projections for faculty pay
  • Prepare annual performance reviews for direct reports of the Dean
  • Prepare and distribute agendas and supporting materials and take minutes for meetings of various committees on behalf of the Dean
  • Ensure that Security has information required for faculty and student access to appropriate offices and studios
  • Undergo training to serve as Deputy Title IX Coordinator in coordination with Human Resources and Student Affairs

Other duties may include maintaining the Dean's calendar and schedule and serving as backup to the Executive Assistant to the President when needed. As with many positions with varied responsibilities, the incumbent will perform other duties as needed.



  • 5 to 7 years of experience in an administrative office setting. Experience in academic settings and/or Human Resources will serve this position well.
  • Must have the ability to develop detailed budgets
  • Must be ready to demonstrate intermediate to advanced proficiency with Excel and Google Spreadsheets
  • Must have intermediate to advanced experience working with databases and be able to articulate 1) how databases work, 2) what different databases have in common, and 3) differences between different databases
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with a sense of diplomacy, tact, discretion and ability to maintain confidentiality
  • Background in customer service, with the ability to recognize urgency when needed, assure people that their concerns have been received, and de-escalate any tensions that can impede good communication
  • Excellent judgment and decision-making skills
  • Superior organization and planning skills
  • Bachelor's Degree or equivalent required
  • Awareness of and sensitivity to diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation and ethnic backgrounds present in our community
  • Familiarity with and background in music will serve this position well, especially when collaborating with Academic Affairs and addressing specific faculty needs as it pertains to their subject matter
